Perhaps the person who is in charge of the web pages could construct a list of who is going, what they are bringing, what job they are doing, then at the bottom have a list of what we still need doing or bringing? List can be updated by said person as members mail him/her saying what they can bring/do? I would be willing if i had the first clue about websites, but this is on my list of "things to learn about". Who does the web pages again? (sorry about the suggestion! If they send me a quick tutorial I will co-ordinate, though).
